If a business creates backups every 24 hours, its RPO equals one day — meaning that in the event of a failure, up to one day of work may be lost. For an online store, this could be dozens of orders; for a bank — transactions; for a small website — updated articles, orders, or user files. The more frequently backups are created, the smaller the RPO becomes, and the fewer data can be lost. In practical terms, the backup frequency depends on how quickly your data changes. If we are talking about dynamic systems such as CRM, accounting software, online stores, or web services with active user interaction, the data may change every minute. In such cases, backups are performed very frequently or even continuously using incremental copying. Incremental backup is a method in which only the data that has changed since the previous backup is copied. This helps minimize system load and avoids storing unnecessary information. Automated backup systems eliminate this problem by creating copies at strictly defined times, storing them on different media, and even sending reports on successful operations. Automation also enables building a multi-layered security model where data is stored simultaneously in several locations: in the cloud, on a physical server, or in a geographically distant data center. RTO, or Recovery Time Objective, is the estimated time required for the system to be restored and resume operations. The more frequently the data is saved, the higher the chances of restoring the system to a nearly identical state, reducing the incident’s impact on business processes. However, the balance between infrastructure costs and the need for frequent backups must always be carefully considered. It is important to account for server load, data volume, and the speed at which the information changes.

The optimal backup frequency depends on the type of data, business size, and security requirements. If the information changes frequently, backups should be created as often as possible. If changes are infrequent, a daily or several-times-a-week schedule may be enough.
